Executive Board
There are ten (10) elected executive board member positions elected by the general PTO membership. The executive board also includes three (3) executive board member positions appointed by Brill's Principal (Volunteer Coordinator, Principal Secretary, and Faculty Representative). Details for each elected position are presented below. Details regarding appointed board positions are available in the PTO's bylaws.
All board members are responsible for conducting the business of the PTO, including setting the organization's annual budget, goals, and objectives. They review proposals from the organization's committees and may vote to approve, reject, or request more information as needed.
Election Process: Each board member is elected by the PTO's general membership. The nominating committee will create a slate of nominees based on responses to the year-end Preference Form. They will then present a ballot of all nominees for each position to the general membership for a vote at a general membership meeting before the end of the school year.
Term of Service: Board members serve terms from May 30 of the current calendar year to May 30 of the next calendar year. Some roles such as President, Vice President, and Treasurer may require some additional overlap to bring their successor up to speed on the business of the PTO. Board members may not serve more than two (2) consecutive terms in the same executive board position without approval of the executive board.
Minimum Time Commitment: Board members commit to meeting monthly to conduct the business of the PTO. Meetings have historically ranged from 1 - 1.5 hours. Each position has its own time requirements in addition to the board meetings. Details about such additional time requirements are addressed for each role in their respective descriptions.
Roles & Responsibilities
President: The President is the main leader, much like the principal of the PTO, guiding all activities with the help of the executive board and committee chairs. This role involves representing our organization to the school administration and other external organizations, running all our meetings, and working with the Vice President to ensure everyone—including all the committees—is working together to meet our goals. The President also oversees all the financial matters (including the distribution of Teacher Grants) and coordinates fundraising requests, ensures we have a successful and well-organized year for the benefit of all our students.
Time Commitment: Heavy involvement, anywhere from 5 hours to 20 hours in a week
Vice President: The Vice President is the key helper for the President and is ready to step in if the President cannot serve. Not only is this person the "right-hand-man" to the President, he or she plays a big role in making sure committee chairs understand their goals, and advises chairs as needed. The Vice President also helps with social media and throughout the organization. Essentially, the Vice President helps keep all internal operations of our PTO running smoothly so we can focus on supporting our kids!
Time Commitment: Heavy involvement, anywhere from 5 hours to 20 hours in a week
Membership Officer: The Membership Officer is responsible for recruiting the Brill community to join the PTO, keeping track of who has joined, and gathering information from members to create a handy internal directory. This person keeps PTO members informed about all the exciting events, accomplishments, and needs of the PTO, and pitches in with other tasks as needed.
Time Commitment: Light involvement, busiest times are at back-to-school and open house events
Programs Officer: The Programs Officer has the exciting job of planning, organizing, and hosting enrichment programs for Brill’s students and teachers. This officer works with teachers and staff to identify opportunities that align with Brill’s needs each year, proposes a program schedule and budget to the board for approval, then welcomes a wide range of passionate educators and performance groups to Brill, creating engaging learning experiences in and outside the classroom. The Programs Officer has also coordinated optional special events like an annual Veterans Day program, and a special solar eclipse watch party for the 2024/2025 solar eclipses over Texas.
Time Commitment: Light involvement, but more hours are required when attending programs
Fundraising Coordinator Officer: The Fundraising Coordinator has a big job! This person is responsible for organizing a fall and spring fundraiser each year to support Brill. This important volunteer also makes sure to create a budget, keeps track of all fundraising revenue and expenses, and reports this information to the Executive Board and Principal. This officer is the go-to person for planning and carrying out all approved fundraising events. Time Commitment: Light involvement at most times of the year, heavy involvement up until fundraising eventsRecording Secretary: The Recording Secretary is essentially the PTO's chief keeper of information! This officer makes sure everyone gets meeting notices and the agenda ahead of time, and then carefully writes down everything that happens in the meetings, including financial updates and new action items.
Time Commitment: Light involvement, mostly contained to PTO meetings
Corresponding Secretary: The Corresponding Secretary is the PTO's main letter writer, handling all public correspondence like thank you notes for donations, and notes of support or congratulations as directed by the Board. This officer is also responsible for planning and organizing Teacher Appreciation Week with the Hospitality Committee, along with observing other important staff appreciation days throughout the year. Basically, he or she makes sure all the important "thank yous" and official communications are taken care of, and Brill’s teachers and staff know they’re appreciated, too!
Time Commitment: Light involvement
Hospitality Secretary: The Hospitality Secretary is in charge of planning and coordinating special meals and treats for our wonderful school staff, to show them how the PTO values and appreciates them. Included is the Back to School Teacher Luncheon, four staff luncheons (one during Teacher Appreciation Week!), and snacks to keep them going throughout the year.
Time Commitment: Light involvement, except for Teacher Appreciation Week when more on-site presence is needed
Treasurer: The Treasurer is the financial go-to person for our organization, responsible for handling all the money. The Treasurer's main jobs include depositing funds, keeping accurate records of all income and expenses, and making sure the bank accounts are balanced each month. He or she must present the annual budget to PTO members for approval, as well as follow prescribed transparency practices like co-signing all checks with the President or VP and support an audit at the end of the year. The Treasurer must also make sure all the necessary tax forms are filed correctly each year. Essentially, the Treasurer keeps our organization financially healthy and its actions transparent for all of us.
Time Commitment: Medium involvement, mostly behind the scenes
Parliamentarian Officer: The Parliamentarian Officer is a key role that helps keep our PTO meetings running smoothly. This officer guides the presiding officer on proper meeting procedure and makes sure everyone follows the rules set in the PTO bylaws, which are based on Robert's Rules of Order. The Parliamentarian makes sure our membership policies are fair and nondiscriminatory. He or she also keeps the bylaws up-to-date with any changes and informs the board about important legislation affecting education.
