Executive Board

There are ten (10) elected executive board member positions elected by the general PTO membership. The executive board also includes three (3) executive board member positions appointed by Brill's Principal. Details for each elected position are presented below. Details regarding appointed board positions are available in the PTO's bylaws.

 

All board members are responsible for conducting the business of the PTO, including setting the organization's annual budget, goals, and objectives. They review proposals from the organization's committees and may vote to approve, reject, or request more information as needed.

 
Election Process: Each board member is elected by the PTO's general membership. The nominating committee will create a list of nominees based on responses to this form. They will then present a ballot of all nominees for each position to the general membership for a vote at a general membership meeting before the end of the school year. Nominees win a position by receiving the most votes for that position. 
 
Term of Service: Board members serve terms from May 30 of the current calendar year to May 30 of the next calendar year. Some roles such as President, Vice President, and Treasurer may require some additional overlap to bring their successor up to speed on the business of the PTO. Board members may not serve more than two (2) consecutive terms in the same executive board position without approval of the executive board.
 
Minimum Time Commitment: Board members commit to meeting monthly to conduct the business of the PTO. Meetings have historically ranged from 1 - 1.5 hours. Each position has its own time requirements in addition to the board meetings. Details about such additional time requirements are addressed for each role in their respective descriptions.
 
Roles & Responsibilities
President: The President is the main leader, much like the principal of the PTO, guiding all activities with the help of the executive board and committee chairs. This role involves representing our organization to the school administration and other external organizations, running all our meetings, and working with the Vice President to ensure everyone—including all the committees—is working together to meet our goals. They also oversee all the financial matters and coordinate fundraising requests, ensuring we have a successful and well-organized year for the benefit of all our students.

Vice President: The Vice President is a key helper for the President, ready to step in if the President can't serve. They play a big role in organizing all our committees, making sure chairs understand their goals and budgets, and are a member of most of them. They also act as the contact person for the 5th Grade Appreciation Committee and keep track of our membership list. Essentially, the VP helps keep all internal operations of our PTO running smoothly so we can focus on supporting our kids!

Membership Officer: The Membership Officer is responsible for recruiting the Brill community to join the PTO, keeping track of who has joined, and gathering information on members to create a handy directory. They keep everyone informed about all the exciting events, accomplishments, and needs of the PTO, and pitch in with other tasks as needed.

Programs Officer: The Programs Officer has the exciting job of planning, organizing, and hosting enrichment programs for Brill’s students and teachers. They work with teachers and staff to identify opportunities that align with Brill’s needs each year, propose a program schedule and budget to the board for approval, then welcome a wide range of passionate educators and performance groups to Brill, creating engaging learning experiences in and outside the classroom. They have also coordinated optional special events like an annual Veterans Day program, and a special solar eclipse watch party for the 2024/2025 solar eclipses over Texas.

Fundraising Coordinator Officer:  The Fundraising Coordinator has a big job! They are responsible for organizing at least three fundraisers each year to support Brill. Good news—running the spirit store, which includes selling fun spirit wear, the memory book and other fun merchandise, counts as one of those three. This important volunteer also makes sure to create a budget, keep track of all the money spent and brought in from fundraising, and reports this information to the Executive Board. They are the go-to person for planning and carrying out all the approved fundraising events.

Recording Secretary: The Recording Secretary is essentially the PTO's chief keeper of information! They make sure everyone gets meeting notices and the agenda ahead of time, and then they carefully write down everything that happens in the meetings, including financial updates and new action items. They keep all the official records organized and help make sure the new board gets all the necessary documents when it's time for a transition. They are also responsible for the PTO’s physical property.

Corresponding Secretary: The Corresponding Secretary is the PTO's main letter writer, handling all public correspondence like thank you notes for donations, answers to questions, and notes of support or congratulations as directed by the Board. They are also responsible for planning and organizing Teacher Appreciation Week, along with observing other important staff appreciation days throughout the year. Basically, they make sure all the important "thank yous" and official communications are taken care of, and Brill’s teachers and staff know they’re appreciated too!

Hospitality Secretary: The Hospitality Secretary is in charge of planning and coordinating special meals for our wonderful school staff, to show them how the PTO values and appreciates them. Meals include the Back to School Teacher Luncheon, four staff luncheons (one during Teacher Appreciation Week!), and other little treats to keep them going throughout the year.

Treasurer: The Treasurer is the financial go-to person for our organization, responsible for handling all the money. Their main jobs include depositing funds, keeping very careful records of all income and expenses, and making sure the bank accounts are balanced each month. They must present the annual budget to PTO members for approval, as well as follow prescribed transparency practices like co-sign all checks with the President or VP and support an audit at the end of the year. They must also make sure all the necessary tax forms are filed correctly each year. Essentially, the Treasurer keeps our organization financially healthy and transparent for all of us.

Parliamentarian Officer: The Parliamentarian Officer is a key role that helps keep our PTO meetings running smoothly. They guide the presiding officer on proper meeting procedure and make sure everyone follows the rules set in the PTO bylaws, which are based on Robert's Rules of Order. They make sure our membership policies are fair and nondiscriminatory. They keep the bylaws up-to-date with any changes and inform the board about important legislation affecting education.
